Important Dates

Please find below information related to the conference and preparation for the conference.

REGISTRATION DESK

The registration desk for the SDT conference  is situated at the first floor in Lounge I of Hotel Zuiderduin, Egmond aan Zee.

Opening hours:

Monday, May 20             16:00 – 19:00 hrs.

Tuesday, May 21             07:30 – 18:30 hrs.

Wednesday, May 22      08:00 – 18:30 hrs.

Thursday, May 23          08:00 – 18:30 hrs.

Friday, May 24               08:30 – 18:30 hrs.

CONTACT DURING MEETING HOURS

For (urgent) questions during the conference days you can call: +31 (0)72 750 2000 and will be connected to the telephonist of Hotel Zuiderduin. When you ask for the SDT organisation, they will forward your call to the responsible SDT contact.

CATERING

All coffee breaks will be held in Lounge 1 & 2 on the first floor/1. Lunches will be served in the restaurant on the groundfloor/0.
During the conference the lunch and the conference dinner will be served in  buffet style. All dishes will be labeled with the 14 most common allergies.
Guests with a special dietary requirement (not vegetarian) can report to one of the staff members in the restaurant.

Between 12.00-12.15 hours all poster presenters presenting that day will have priority to other participants to have lunch in the restaurant. They need to be present at their poster at 12.30 hours.

PHOTOGRAPHER

During the conference a photographer will take pictures for publication at the conference website. If you do not want to be photographed, we kindly ask you to report it to the registration desk.

KEYNOTE SESSION

On each conference day we have two simultaneous Keynote sessions, with two keynote speakers per session. Each keynote speaker has 25 minutes for presentation and 5 minutes for questions.

Each presenter is requested to bring his/her PowerPoint presentation on an USB stick and load it well in advance in the room of his/her session.

The following AV equipment will be provided: laptop, beamer and screen. Please be informed that there is no possibility to connect your own laptop.

SYMPOSIUM PRESENTATION

Symposium presenters are requested to upload there presentations in the session room and be present 15 minutes before the session starts. Each presenter has 15 minutes for presentation and 5 minutes for questions from the audience. At the end of all presentations discussion on the theme of the symposium led by the session chair will last for 10 minutes.

BRAINSTORM SESSION

On Thursday from 17.30 – 18.30 hrs. there will be 15 brainstorm sessions simultaneously.

These sessions are meant to generate new ideas for further SDT research and its applications through giving all the participants the opportunity to contribute to this process. These sessions will be led by 2-3 session chairs and will be highly interactive in nature.

PAPER PRESENTATION

On each conference day has 1 or 2 paper presentation sessions, with each session of one and a half hours and a maximum of 5 presenters.

Each presenter has 15 minutes presentation, which includes 3 minutes for questions.

At the end of all presentation the session chair will lead a discussion session with all the presenters and the audience for 15 minutes. Please identify yourself to the chair of the session at least 15 minutes before the session begins.

UPLOAD PAPER PRESENTATION AND AUDIOVISUAL EQUIPMENT

Each presenter is requested to bring his/her PowerPoint presentation on an USB stick and load it well in advance in the room of the session.

POSTER PRESENTATION

The poster sessions will be held in Lounge 1 and Lounge 2 on the first floor near the registration desk.  On each conference day there will be a poster session from 12.00-14.00 hours during lunch.

Between 12.00-12.15 hours all poster presenters presenting that day will have priority to other participants to have lunch in the restaurant. Please be present at your poster at 12.30 hours.

Poster sessions are always special at the SDT conferences. They are very well-attended and provide the opportunity to get lot of feedback from your SDT colleagues around the world.

We suggest that each presenter prepares a 2 minute pitch to present to the conference delegates when they walk by the poster. There will be no guided presentation session and no chair for the poster sessions. Posters with the same topic will be grouped together.

POSTER INFORMATION

The sizes of the poster boards are 120cm (height) x 90cm (width) – portrait format. Poster fixing material will be provided at your poster board and at the registration desk.

ALLOCATION OF THE SPACES, MOUNTING AND REMOVING TIMES

Upon registration you will receive further information on the exact location of your poster. Your abstract number will correspond with the number on the poster board.

Please note that your poster will be on display for the entire day on the day you will present.

* Mounting of posters: on the day you have your poster presentation from 08:00 – 09:00 hrs.

* Removal of posters: at the end of the day you have your poster presentation

If any poster materials are left behind on Friday May 24, 2019 after 18:30 hrs they will be removed by the conference staff.

CERTIFICATE OF ATTENDANCE

A digital certificate of attendance can be requested at the registration desk by checking your name and e-mail address. Our administration will send the certificate via e-mail after the SDT conference.

Wi-Fi AND SOCIAL MEDIA

A great Wi-Fi connectivity allows you to freely and actively interact with social media and participate in audience response systems if they are used by the presenters.

We encourage you to tweet or post on social media about the conference using the #SDT2019.

GREEN CONFERENCE

In the light of this being a green conference, no printed program book, abstract book or bag will be provided.

CONFERENCE APP

We have a beautiful conference app which has all information related to the conference, the social program and restaurants around Egmond aan Zee and Alkmaar, etc. We encourage you to download and use this app. You can even make your own conference schedule in this app.

BOOK SIGNING

If you buy the Self-determination Theory book (©2017 The Guilford Press) from the Taylor & Francis book stand at the conference, you have the opportunity to get it signed from Edward Deci and Richard Ryan, the founders of Self-determination Theory. This book signing is scheduled on Thursday, 23rd May, from 10:30 to 11:00, during the morning coffee break. Please note that this signing is meant only for the books bought at the Guilford stand during the conference days, not before.
